The main responsibility of the Medical Safety Assistant (MAAs) is to assist the Medical Safety department with project related and/or general administrative work.

An overview of your main tasks and responsibilities:

  • Administrative support towards the team focussing on the submission of medicinal product safety information to relevant stakeholders, including:
    • Support in the submission of safety information to clients or other destinations, as needed
    • File submission documents according to internal procedures 
    • File submission dates of safety reports in dedicated safety database
    • Update trackers with submissions dates of safety reports
    • Collect Acknowledgement of Receipt (AoR) of safety report submissions and file them according to internal processes
    • Quality Control of submission filing to check if all submission dates were completed and all AoRs were received and filed as needed. Follow up on missing dates and/ or AoR as needed.
  • Depending on the needs, assist the medical safety team with other administrative tasks:
    • Maintain oversight on the receipt of safety information (Serious Adverse Events, Adverse Drug Reactions, Pregnancy information, etc) through the different team email inboxes
    • Data entry of safety information into the safety database
    • Creation of reports from the safety database
    • Maintain tracking on the status of the different documents being processed in the team
    • Quality control of documents prepared within the team
    • Create and maintain Project Files
    • Filing of all appropriate documentation electronically and/ or on paper
    • Archiving of closed projects

Your profile:

  • Degree in Business Administration and Languages, Office Management or equivalent through experience
  • Fluent in English (other languages are an asset)
  • Excellent computer skills (MS Office): Word, Excel, Powerpoint, …
  • Punctual with respect of timelines
  • Accurate and with an eye for detail
